Maintaining your organisation's details

Are your organisation contacts missing important emails for us?

We recommend you request your I.T department adds all email domains ending in .gov.au to their safe sender list.

 

As part of the steps preparing to lodge a Gender Equality Report, employers must ensure all organisation and contact details are up to date.

So that:

  • we can communicate with your organisation throughout the reporting process
  • you can lodge a Gender Equality Report that reflects your organisation.​​​​

Contact and role changes

Employers are responsible for keeping contact details up to date.

We recommended:

  • Having more than one reporting contact with a different email to avoid disruptions (e.g. if staff leave your organisation or are absent).
  • Ensuring the CEO or equivalent contact details are accurate to facilitate important compliance communication.

Contact Roles

The role assigned to a contact determines what communication they receive from us during the reporting process.

This contact will receive both general and important reporting communication

CEO

This contact will receive limited but very important compliance communication. WGEA requires the CEO or head of business to be an active contact and have this role assigned. 

No role

This contact will receive no communication from WGEA

 

We recommend adding an additional contact that has a shared mailbox and is accessible by a team, so important communication is not missed.

For example, you may wish to set up:

Contact name: Human Resources / Pay roll
Contact email: hr or payroll@example.com.au
Contact role: reporting contact

 

Types of contact changes:

Adding a new contact to your organisation account

  • authorised contacts will have a contact record created when they first log in

  • non-authenticated contacts can be added (for communication purposes) by an existing contact lodging a support request or emailing support@wgea.gov.au

Update your CEO or head of business

  • an existing contact can lodge a support request or email support@wgea.gov.au. Please include:
  • Former CEO details (name, email, organisation, ABN)
  • New CEO details (name, email, organisation, ABN)

Removing a contact from your organisation account

  • log into the Employer Portal. Select the 'organisation' tab, select the organisation link, select 'contacts', select the contact link, select 'deactivate'

  • an existing contact can lodge a support request or email support@wgea.gov.au

Add / change / remove a contact role

  • log into the Employer Portal. Select the 'organisation' tab, select the organisation link, select 'contacts', select 'view all', select the dropdown beside the contact you wish to change, select 'edit relationship'. You can add or remove a role and select 'save' to confirm.

  • an existing contact can lodge a support request or email support@wgea.gov.au

 

These changes require formal notification to WGEA. Changes must be lodged in writing via the WGEA Employer Portal as support request) or emailed to support@wgea.gov.au.
 

Examples of reportable changes:

  • Change of legal name
  • An ABN no longer employs staff or has been sold
  • A new subsidiary employing staff has joined the corporate group
  • A corporate group has been wholly acquired.
  • A merger with another employer has taken place

What to include in a request:

  • Details of the change
  • Reason for the change
  • ABN(s) affected

Industry Classification (ANZSIC Code)

Employer Portal users can update their organisation's Industry code within the Employer Portal.
 

  1. Once you have logged in, select the 'organisation' tab
  2. you will see your organisation(s) as a link. Select the link
  3. Select the yellow button labelled 'Add Industry'
  4. you will be required to select an Industry 'Sub Division' and 'Class'
  5. Select 'Save to confirm the change.
